How Patcher billing works
Patcher is a single subscription that unlocks the full product. This article explains what’s included, how the price is calculated, how your free trial works, and how to subscribe, cancel, or resubscribe from your account.
Overview
Every Patcher subscription includes the entire product — opening detection, reschedule proposals, customer outreach, and sync with your scheduling tool. There are no feature tiers to compare and no add-ons to pick.
When you connect your first scheduling tool, Patcher starts a free trial automatically. You keep full access during the trial, and you can subscribe at any time from the Billing page in your account.
What’s included
- Automatic detection of openings in your schedule
- Reschedule proposals that move appointments earlier when it helps
- Candidate matching based on time, location, and your rules
- Customer outreach and response tracking
- Real-time sync with your connected scheduling tool
- Admin controls for users, businesses, and resources in your organization
How pricing works
Patcher bills per active resource. Resources are the people in your organization who appear on the schedule — you can rename them to match your business (technicians, stylists, vets, cleaners, providers, and so on). The number you pay for matches the resources you’ve marked active across all the businesses in your organization. If you have eight on the schedule, you pay for eight. If you mark one inactive, the next bill drops by one.
Your exact per-resource rate is shown on the Billing page in your account and again on the secure checkout page before you confirm. Pricing is configured per organization, so the rate you see there is always the right one for your account.
Starting your free trial
- Sign in to Patcher and open your organization.
- Connect your scheduling tool from Settings under Integrations.
- Your free trial starts automatically once the connection is live. The Billing page shows how many days you have left.
Subscribing
Only owners and admins can subscribe. Members see a note asking them to contact an org admin.
- Go to Billing in the left sidebar of your organization.
- Click Subscribe now (or Subscribe or Resubscribe, depending on your current status).
- You’ll be redirected to a secure checkout page to enter your payment details.
- Once the payment is confirmed, you’ll return to Patcher with an active subscription. Access continues without interruption from your trial.
Viewing your current subscription
Open Billing in your organization to see:
- Your subscription status, such as Active, Canceling, trialing, past due, or ended
- The date your subscription renews, or the date access ends if you’ve canceled
- How many active resources you’re currently billed for
Changing how many resources are billed
The count comes from the resources you’ve marked active in your organization. To change what you pay for, mark resources as active or inactive in your business settings. Patcher shows a billing preview before the change is saved so you can confirm the cost difference.
Canceling your subscription
Only owners and admins can cancel.
- Go to Billing.
- Under Manage subscription, click Cancel subscription.
- Confirm the cancellation.
You keep full access until the end of your current billing period. After that, your organization loses access until someone resubscribes. Patcher does not charge you again once a cancellation is scheduled.
Resubscribing
If your trial has ended, your subscription was canceled, or a payment permanently failed, the Billing page shows a Resubscribe button for owners and admins. Click it to run through checkout again and restore access.
Payment issues
If a payment fails, Patcher marks your account as Past due and keeps full access while the payment is retried. If every retry fails, the subscription ends and you’ll need to resubscribe with a working payment method.
Updating payment method and invoices
Self-serve payment method updates and downloadable invoice history are on the roadmap. In the meantime, reach out to support and we’ll help you update your card or share a copy of a past invoice.
Who can manage billing
- Owners and admins can subscribe, cancel, and resubscribe.
- Members can see the Billing page but can’t make changes. If you’re a member and need to update billing, ask an owner or admin in your organization.
